Booking Your Trip
What happens next?
Your booking will normally be confirmed within a week, although in busy periods it may take a little longer. Your confirmation pack will include flight details and additional information about what to take, visas and vaccinations. * If you require accommodation or parking near to your departure airport, we recommend you call Holiday Extras on 0870 844 2390 and quote EXODU - they can help with all pre-departure requirements. * If you need a visa, we suggest you contact Travcour (UK) on 020 7223 5295 or visainquiry@travcour.com * If you need vaccinations or have any other health concerns, please contact your GP for advice.
Final payment
The balance of your payment is due 8 weeks before departure. The exact date will be shown on your invoice. Although we accept a range of credit and debit cards, if paid by credit or charge card, it will be subject to a 1% fee (2% from January 2008). If you require a receipt please request one. Please note if your tour is not up to minimum numbers at the final payment date, we will not take your payment until your trip is confirmed, at which point we will contact you to let you know. Once you have decided which trip is for you, you can check availability by calling our sales team on 0845 863 9636, or your travel agent, or you can visit the Exodus website www.exodus.co.uk. We can normally hold a space (option) for you for 3 days whilst you send in the booking form. We advise you to do this as soon as possible as some of our popular trips book up months in advance, and we do not want you to miss out. Furthermore, flight availability can be a problem at certain times of the year (particularly Christmas and Easter) and cannot always be guaranteed at the price advertised. If there is availability and you are holding an option, we recommend that you read the brochure description, general pages, booking conditions and Trip Notes carefully. Trip Notes can be downloaded from www.exodus.co.uk or ask a member of the sales team to send you a copy. Taking your family abroad anywhere can expose them to risks not normally faced at home. It is therefore imperative that you understand exactly what is involved, and are confident that you and your family can fully participate in all activities included in the trip. If, having read the literature, you are unsure about a trip's suitability please contact us as we normally have an expert on hand who can talk it through with you. Please see page 68 for details. If you would like to take advantage of Exodus insurance, please fill in the relevant section of the booking form. * If you are not booking your flights with Exodus, please contact our office or your agent to confirm where you can meet the group. Please also fill in the Land-only booking section at the bottom of the form, as this may help us if you or the group is delayed on arrival. Most of our holidays are group holidays and require a certain minimum number of bookings to operate. In the unlikely event that a holiday does not reach minimum numbers, we may be forced to cancel. Therefore we strongly recommend that you do not make any non-refundable/non changeable travel arrangements until you have checked with our office that the holiday has been definitely confirmed. This will usually be done prior to 6 weeks before departure. Please also note that all flights are subject to schedule changes, sometimes up to just a couple of weeks prior to departure. Therefore, we recommend that if you are booking any regional flights to connect with your international flight from London, you should avoid any non-refundable/non changeable tickets. You now need to sign the form. This indicates that you have read the Booking Conditions and agree to abide by them and that having read the information provided, you understand what is involved in the specific trip. * Send the fully completed booking form with a deposit of 10% of the total travel costs, or £100 per person, whichever is the greater. Please note that from January 2008, if you pay your deposit by credit card, it will be subject to a 2% fee. * Please make cheques payable to Exodus Travels Ltd'. Note we are unable to accept Eurocheques. Please check you have included everything you require with your original booking. Any changes that you subsequently make will be subject to an amendment fee of £25, or £10 for insurance. * You may pay your deposit over the telephone by credit or other form of card accepted by us, and this will secure your place. However please note Booking Condition no 2 if you use this method of booking. If booking under 31 days before departure, we also require a guaranteed final payment such as a building society cheque, debit card or credit card. We regret we may have to impose a late booking fee of £25 per booking to cover expenses and we cannot accept personal cheques less than 31 days before departure.
Completing the booking form
* If you have an option please write your option number in the space provided. * Ensure your name, and those of your family, are spelt exactly as they appear in your passports. Airline tickets issued with incorrect spelling cannot always be reissued without penalty, so please check this carefully. Do not use abbreviations e.g. Liz for Elizabeth, unless this is as it appears in your passport. * If you are booking an Activity Centre please indicate on the booking form, or on a separate sheet, how many rooms will be required and who will be sharing in each room. * Please fill in your passport details and check that your passport is valid for at least 6 months beyond your period of stay. If not, you may need to obtain a new passport. This can be done by contacting Travcour (UK) on 020 7223 5295 or visainquiry@travcour.com, or by collecting forms from the Post Office. * If you have any special dietary requirements, please specify them in the space provided on the booking form. In certain cases, we may need to double check that your requirements can be met on the holiday you have chosen. * In the unlikely event that there is an emergency whilst you are on your trip, please supply us with a contact name and address in the box provided. * Please indicate any pre-bookable options in the space provided. * If you interested in extending your holiday, please ask about this, as we are able to alter your flight details (subject to availability), for a flight amendment fee of £25 per person. Our Sales Team will also be able to advise on pre and post tour accommodation should this be required. * If you need a flight connection from a regional airport or are considering upgrading your flight, please contact our sales team for further information. * If booking less than 8 weeks before departure, please do not forget to include full payment. * We do require you and your family to be insured and have suitable cover for the particular trip. Exodus offers a very comprehensive insurance policy specifically tailored for our style of holiday, either for a single trip or for a whole year.
And finally
If you have booked your flights through Exodus, we will send your air tickets and Final Joining Instructions to you about two weeks to 10 days before departure. Occasionally, air tickets are collected at the airport or we may use e-tickets. If this is the case, full instructions will be given. Please check these details carefully. If you have not received your air tickets or Final Joining Instructions at least one week before departure, please contact us as we cannot be held responsible for any expenses you may incur at the airport if you arrive without your travel documents and/or air ticket. If you have any concerns about these details or any last questions about your holiday, please do not hesitate to contact us immediately. All that remains is to get yourself to the airport or joining point on time, and have a wonderful holiday. Afterwards, please don't forget to fill in your quality control questionnaire telling us about the good points and any improvements we can make for future trips.
